Activating and Deactivating Templates
The Activate / Deactivate Template feature in uAuditor allows administrators to control whether an inspection template is available for use in inspections and schedules. This helps organizations manage template lifecycle without deleting important configurations.
Deactivating templates keeps your workspace organized while preserving template history.
Why Activate or Deactivate Templates
Managing template status helps organizations:
- control which templates are available for inspectors
- prevent outdated templates from being used
- maintain version control across inspection workflows
- prepare templates before rollout
- archive templates no longer needed
This ensures inspections always use the correct checklist version.
When to Deactivate a Template
You may deactivate a template when:
- the inspection process has changed
- a newer template version replaces it
- the checklist is under revision
- the template is temporarily not required
- inspections for a specific workflow are paused
Deactivated templates remain stored but unavailable for new inspections.
When to Activate a Template
You should activate a template when:
- preparing it for operational use
- launching a new inspection workflow
- restoring a previously paused checklist
- rolling out updated inspection procedures
- enabling templates for scheduling
Activation makes the template selectable again during inspection setup.
How to Activate or Deactivate a Template
To change template status:
- Open the Templates module
- Locate the template you want to update
- Open template settings or actions menu
- Select Activate or Deactivate
- Save the change
The template status updates immediately.
What Happens When a Template Is Deactivated
When a template is deactivated:
- it cannot be selected for new inspections
- it cannot be used in new schedules
- existing inspections remain unaffected
- historical inspection data stays available
- the template can be reactivated at any time
This allows safe template lifecycle control without losing data.
Managing Template Versions Using Activation Status
Organizations often deactivate templates to manage checklist updates safely.
For example:
- deactivate Version 1
- activate Version 2
- continue inspections using the updated checklist
This approach ensures consistent inspection execution across locations.
Best Practices for Template Activation Management
To manage templates effectively:
- deactivate outdated templates instead of deleting them
- clearly name template versions
- activate templates only after testing
- review active templates periodically
- keep only operational templates available to inspectors
Controlling template activation helps maintain inspection accuracy and ensures teams always work with the correct operational standards.
