Creating an Inspection Schedule
Creating an inspection schedule in uAuditor allows administrators and supervisors to automatically assign recurring inspection tasks to users based on predefined templates and time intervals.
Schedules ensure inspections are completed consistently across locations without requiring manual assignment each time.
Where to Create Inspection Schedules
Inspection schedules are created from the Scheduled Inspections page.
To create a schedule:
- Go to Scheduled Inspections
- Click Create Schedule
- Select a template
- Assign users
- Configure frequency and timing
- Define the grace period
- Save the schedule
Once saved and activated, tasks are generated automatically according to the defined configuration.
Selecting the Inspection Template
The first step when creating a schedule is choosing the inspection template.
The selected template determines:
- checklist structure
- inspection questions
- scoring rules
- required evidence settings
- corrective action automation (if configured)
Choose a template that matches the operational activity you want to monitor.
Assigning Inspectors
After selecting a template, choose the users responsible for completing the inspection.
Each assigned user:
- receives recurring inspection tasks
- sees tasks in the Tasks module
- completes inspections before the due time
- contributes to schedule completion tracking
Multiple inspectors can be assigned to the same schedule if needed.
Choosing the Schedule Frequency
uAuditor supports several scheduling intervals:
Daily
Assigns inspections every day at a specified time.
Weekly
Assigns inspections on selected weekdays.
Monthly
Assigns inspections on a selected day of the month.
Yearly
Assigns inspections on a specific date each year.
Custom
Assigns inspections on selected weekdays with flexible timing.
Choose a frequency that matches your operational routine.
Setting the Assignment Time
The assignment time defines when inspection tasks become available to assigned users.
For example:
- a daily inspection at 9:00 AM creates a task every day at that time
- a weekly inspection on Monday at 8:00 AM creates a task each Monday
Setting clear assignment times improves inspection consistency.
Configuring the Grace Period
The grace period defines how long users have to complete the inspection after it is assigned.
For example:
- 4 hours
- 1 day
- multiple days or weeks (depending on configuration)
If the inspection is completed after the grace period, it is marked as Completed Late.
If not completed at all, it becomes Missed.
Enabling or Disabling Notifications
When creating a schedule, you can choose whether assigned users receive notifications when tasks are generated.
Notifications help:
- remind inspectors about assigned inspections
- improve completion rates
- reduce missed inspections
- increase accountability across teams
Silent schedules can also be used if notifications are not required.
Activating the Schedule
Once configuration is complete, the schedule can be activated.
When active:
- tasks are generated automatically
- assigned users receive inspection responsibilities
- completion tracking begins immediately
If the schedule remains inactive, no tasks will be created until activation.
Editing a Schedule After Creation
Schedules can be updated at any time.
You can modify:
- template selection
- assigned users
- frequency
- assignment time
- grace period
- notification settings
Changes apply to future generated tasks without affecting completed inspections.
