Editing Inspection Schedules
Editing inspection schedules in uAuditor allows administrators and supervisors to update recurring inspection assignments when operational needs change.
You can modify schedule timing, assigned users, templates, and completion windows at any time without affecting inspections that were already completed.
This ensures scheduling remains aligned with evolving workflows across locations.
When to Edit an Inspection Schedule
You may need to edit a schedule when:
- inspection frequency needs adjustment
- inspectors change responsibilities
- a different template should be used
- assignment timing must be updated
- grace periods need modification
- notifications should be enabled or disabled
Updating schedules helps maintain accurate inspection coverage.
How to Edit an Inspection Schedule
To edit an existing schedule:
- Go to Scheduled Inspections
- Locate the schedule in the list
- Click the options menu (three dots)
- Select Edit
- Update the required fields
- Save the changes
Updates apply to future generated inspection tasks.
Updating the Inspection Template
You can replace the template used in a schedule if inspection requirements change.
Changing the template affects:
- checklist structure
- inspection questions
- scoring configuration
- required evidence rules
The updated template will be applied to new tasks generated after saving the schedule.
Completed inspections remain unchanged.
Updating Assigned Inspectors
Schedules allow updating assigned users at any time.
After updating assignees:
- new tasks are generated for the updated users
- removed users stop receiving future tasks
- existing completed inspections remain unchanged
This helps keep responsibilities aligned with team structure.
Changing the Schedule Frequency
You can modify how often inspections are assigned by adjusting the frequency.
Available frequency updates include:
- daily
- weekly
- monthly
- yearly
- custom intervals
Frequency changes apply only to future inspection tasks.
Adjusting Assignment Time
Assignment time determines when inspection tasks are created.
Updating this time:
- shifts when tasks appear in the Tasks module
- affects when notifications are triggered (if enabled)
- helps align inspections with operational routines
This ensures inspections occur at the correct time each day or cycle.
Updating the Grace Period
The grace period defines how long users have to complete inspections after assignment.
Adjusting the grace period:
- changes task deadlines
- affects late completion tracking
- improves schedule flexibility
This helps match inspection expectations with real working conditions.
Enabling or Disabling Notifications
Schedules allow administrators to control whether assigned users receive alerts when tasks are created.
Notifications can be:
- enabled to improve completion rates
- disabled for silent background schedules
Changes apply immediately to future generated tasks.
Editing Active vs. Inactive Schedules
Schedules can be edited whether they are active or inactive.
However:
- active schedules continue generating tasks based on updates
- inactive schedules remain paused until reactivated
This allows safe adjustments before restarting schedules if needed.
What Happens to Existing Inspection Tasks
When editing a schedule:
- completed inspections remain unchanged
- existing assigned tasks remain unchanged
- only future generated tasks follow the updated configuration
This protects historical inspection records.
Best Practices for Editing Inspection Schedules
To manage schedules effectively:
- review schedules regularly
- update assignees when team roles change
- adjust timing to match operational shifts
- refine grace periods based on completion trends
- monitor missed inspections after updates
Keeping schedules updated ensures inspections remain consistent and aligned with operational priorities across your organization.
