# Scheduling Broadcasts

# **Scheduling Broadcasts**

Scheduling broadcasts in uAuditor allows administrators to publish announcements automatically at a predefined date and time. This helps organizations coordinate communication with operational timelines, training rollouts, policy updates, and compliance notifications across locations 📅

Scheduled broadcasts ensure important messages are delivered at the right moment without requiring manual publishing.

## **When to Schedule a Broadcast**

Scheduling broadcasts is useful when:

- announcing future policy changes
- preparing inspection procedure updates
- coordinating training communications
- sending reminders before audits
- publishing operational alerts ahead of events
- aligning communication with shift schedules
- delivering updates across multiple time zones

This helps teams receive information exactly when needed.

## **How to Schedule a Broadcast**

To schedule a broadcast:

1. Open the Broadcast module
2. Select Manage Broadcast
3. Click Create Broadcast
4. Enter the broadcast title and description
5. Select target locations and/or users
6. Configure acknowledgment and comment settings if needed
7. Attach supporting documents (optional)
8. Select Schedule
9. Choose the desired date and time
10. Click Save or Publish

The broadcast will be delivered automatically at the selected time.

## **Editing Scheduled Broadcasts**

Before a scheduled broadcast is published, administrators can:

- modify message content
- change recipients
- update attachments
- adjust acknowledgment requirements
- enable or disable comments
- update publish date and time

This ensures scheduled announcements remain accurate prior to delivery.

## **What Happens When the Scheduled Time Arrives**

At the scheduled time:

- the broadcast is published automatically
- recipients receive notifications (if enabled)
- the broadcast appears in My Broadcasts
- acknowledgment tracking begins (if required)
- comments become available if enabled

No manual action is required after scheduling.

## **Monitoring Scheduled Broadcast Delivery**

After publication, administrators can track:

- who viewed the broadcast
- who acknowledged it
- comments and responses
- engagement activity across locations

This ensures communication effectiveness can be verified.

## **Example Use Case**

Example scenario:

A compliance manager prepares a broadcast announcing updated inspection requirements that become effective next week.

The manager:

- schedules the broadcast to publish the day before enforcement begins
- attaches supporting documentation
- requires acknowledgment from supervisors

This ensures all locations are informed before the change takes effect.

## **Best Practices for Scheduling Broadcasts**

To schedule broadcasts effectively:

- align publish timing with operational milestones
- schedule reminders before important deadlines
- attach supporting documentation in advance
- require acknowledgment for compliance-related updates
- review scheduled broadcasts before publication time

Scheduling broadcasts helps organizations deliver timely communication and ensure operational updates reach teams at the appropriate moment across all locations.
